Volunteer program
 
HYSA is a volunteer based program that we all benefit from. The volunteer program is being put in to place to help us get the volunteers needed to run a successful program, and to put the choice to volunteer in to the hands of the parents.  With this program we will be able to target the volunteers needed for various jobs instead of sending out mass e-mails asking for volunteers. We would like to thank everyone for their cooperation and for their volunteer hours in advance!
 
Volunteer job guidelines—HYSA will assess each FAMILY (not each player in the family) for 5 hours of work or $50. Volunteer checks will be due with spring registration forms.
 
-Competitive head coaches, assistant coaches, board members, managers,  referees, do not need to submit a volunteer check. They are, however, still responsible for reporting their volunteer position and hours to a team tracker.
 
-The check will be shredded, NOT cashed, if the family completes its 5 hours of work.
-The volunteer check must be post dated June 30, 2010.
 
-Each family is responsible for tracking and reporting its volunteer hours to the team volunteer hours tracker no later than June 8, 2010.
 
-The team volunteer hours tracker for all other teams needs to complete the team volunteer hours log and mail it to HYSA, P.O Box 6972 Helena, MT 59604 C/O Jennifer Baker no later than June 15, 2010. Incomplete forms will be returned.
 
-The team volunteer list needs to be E-mailed/turned in to HYSA after your team has met and established your volunteer list. Please include e-mails and phone numbers with each volunteer job.
 
“Competitive” Volunteer Job Descriptions
 
Coach/assistant coach Rec/Academy
Volunteers to coach or assist a rec league team or assist the coaching staff with the academy teams.
 
ASSISTANT COACH
-Is available to assist the head coach at all practices and games.
-Holds or is willing to obtain at least an “E” license, and receives approval to assist by the HYSA Board of Directors and head coach.
 
TEAM MANAGERS
-Works with coaches in determining and reserving practice times and locations.
-Contacts and relays information from coaches to players.
-Notifies families of fundraising opportunities
-Distributes the team schedule
-Ensures that team player names, jersey numbers, and birth dates are correct on MYSA rosters.
-Handles ordering and distributing of uniforms
-Files ALL necessary paperwork for (registrations by tournament deadline and travel papers not later than one month prior to traveling) for tournaments, including the State tournament.
-Is responsible for collecting the team cards from the center ref after each game and turning in the team book, first aid kit, and other borrowed equipment at the end of the season.
-Is responsible for overall management of all team volunteer positions.
 
TEAM REPRESENTATIVES Sits in at the board meetings and conveys information and decisions from the HYSA Board to the players and parents. (Not a board member)
 
FIELDS AND EQUIPMENT VOLUNTEERS  (a minimum of 2 from each team)
(e-mails will be sent out to the volunteers for these positions)  to help with all field preparation for the season.
Help with all tournament preparations of the fields.
Sets up Nets for home games on Saturdays or Sundays (rec/academy)
 
REFEREES (at least 2 PER TEAM)
-Attends a sixteen hour certification (new refs) or a four hour recertification in Jan. Feb. or March. Exact time, date and place will be posted on the HYSA Website.
-Referees league games, as an assistant line referee or a center referee.
-Signs up for one of the state tournament and officiates at a state tournament.
 
As a certified referee, one may be a line ref or a center ref, depending on your own comfort level.
Do not volunteer for more than one team as a referee.
 
FIELD MARSHAL
-Marshals at all home games, taking care of any problems that might arise during a game.
-Marshals at the Queen City tournament. If you cannot attend, you are responsible for finding a substitute.
-Works with the center ref to take care of a problem parent, coach, or fan.
-Enforces the No Dog policy at Siebel Fields.
-Encourages Parents and Players to pick up litter after practice/games at Siebel Fields.
-Takes care of lost and found items
 
HYSA “HELPER”
-Helps assemble the team book
-Insures that the team player pics have been uploaded, makes and laminates the team player cards in March.
-Accounts for, collects, and distributes the coach reimbursement for travel expenses.
 
VOLUNTEER HOURS TRACKER
-With the coach, finds volunteers for different roles in the team and club and is responsible for filling a COMPLETED Team Volunteer List.
-Tracks the volunteer hours and ensures their completion by the team parents.
-Submits the one page Team Volunteer form that reports the individual family volunteer hours to HYSA at the end of the season.
 
TOURNAMENT VOLUNTEERS
Attends Queen City Classic meetings and serves on a tournament committee (Concessions, t-shirts, referee hospitality, field marshal coordinating, tournament ad coordination, publicity, field prep, team check-in, referee check-in etc.) Working closely with the Classic Director.
 
CONCESSION STAND VOLUNTEERS  Work in the concession stand for 1 or 2 shifts during the Saturday “competitive games” We will coordinate with your team so that you are not working during your child’s game.
 
E-mails will be sent out periodically throughout the season for additional opportunities to volunteer. There should be plenty of opportunities to volunteer and fill your hours.
